Appointment, confirmation, cancellation and rescheduling policy
Scheduling and attendance rules designed to protect appointment availability and continuity of care.
Appointment scheduling
- A first appointment does not require an advance scheduling fee.
Appointment confirmation
- Appointments must be confirmed two days before consultation, before 7:00 p.m.
- Confirmation can be made by WhatsApp or phone call.
- If confirmation is not received on time, the slot may be assigned to another patient.
- Arriving 30 minutes late or more is considered a missed appointment.
Rescheduling, advance payment and penalties
- If rescheduling is requested, it must be reported as early as possible.
- A 50% advance payment of the consultation fee is required.
- For Panamerican patients, the full deductible applies.
- Payment methods:
- Card or payment link.
- SINPE Movil, transfer, or cash (4% additional fee as required by Ministry of Finance regulations).
- If a patient misses, cancels, or reschedules a second appointment, the advance payment is forfeited.
- Exceptions: personal/family medical emergencies, direct family death, severe weather conditions.
- Exceptions must be reported as soon as possible and supported with evidence for individual review.
- Fibroclinic may grant up to two courtesy reschedules when providers face emergencies, accidents, direct family death, severe weather, or scheduling contingencies.
- On a third reschedule initiated by Fibroclinic, the advance amount is refunded.
Packages and insurance
- Patients under prepaid packages (private or insurance) must cancel or reschedule at least 12 hours before appointment time.
- Changes made with less than 12 hours are considered late and the corresponding session is deducted.
